THE CHALLENGE

Bustle Studios, a virtual office service, faced significant problems due to its manual mail management system. These issues included an inefficient, error-prone workflow that wasted staff time and risked errors like mis-sorting or delayed processing. The client experience was also poor, lacking real-time visibility and a self-service option for managing mail preferences. Finally, the usage-based billing was burdened by heavy manual administrative work, resulting in delayed, inaccurate invoicing and a lack of accounting system integration. Bustle Studios needed an automated, integrated solution to link mail handling, usage tracking, and invoice generation.

THE SOLUTION

Hitori collaborated with Bustle Studios to develop Mailroom, a web application featuring client and staff portals to automate mail handling, enhance security, and streamline invoicing. The application offers a comprehensive suite of tools designed to modernize mail management, including an intelligent Admin/Staff Dashboard that uses AI-assisted Optical Character Recognition (OCR) to accurately suggest client matching for scanned mail, a secure Client Portal that allows users self-service access for updating preferences and accessing their mail, and seamless financial integration via the Xero API to automatically generate precise invoices based on tracked usage and service consumption.
